How we turn a supplier shortlist into a live listing

The process starts when a seller requests help to source local suppliers. Our ops desk checks for stock on hand, MOQ, VAT invoice setup, carton class, and POPIA readiness for customer data. Once we have a shortlist that ticks these boxes, we run a manual verification. Dropshippers never list a supplier unless we get direct confirmation and digital catalogues for fast updates.

Next, we load supplier profiles into our ops toolkit. Sellers choose what to list, and we set up the main data: names, product specs, pickup rules, fulfilment SLAs. Only when all channel and supply-side checks pass, the products go live. It’s a hands-on process, not a quick upload.

How our channel matrices keep sellers honest

We use a channel matrix for every seller, mapping products to marketplace, DTC, wholesale, and WhatsApp channels. This stops over-committing stock and helps sellers stick to channel MOQ, bundle, and returns agreements.

The matrix flags channel clashes so sellers don’t accidentally double-list or promise stock they can’t get. We also lock in courier, SLA, and humidity rules for each channel, which matters for SA’s mixed coastal and inland routes.

Each matrix is reviewed monthly, and any seller can request a desk-side review if trading patterns shift.

How pack and courier notes work for all South African lanes

Our team writes every pack note with the realities of SA transport in mind. We make sure carton class, humidity control, and weight are set for both inland and coastal legs. Special packing is flagged if a route includes high-humidity zones like Durban or Cape Town.

Courier notes are adapted for metro or outlying drop-offs and always include a backup contact in case of morning or evening power cuts. Sellers get standard templates to update delivery promises if there’s a local outage, not just national ones.

We also check that every parcel’s barcode and VAT paperwork matches the listing channel and supplier rules. Its easy to miss a detail otherwise.

What a desk review looks like at Rosebank or a regional trade room

Every seller is welcome to book a slot at our Rosebank ops desk or at regional desks in Midrand, Centurion, Sandton, Cape Town, Stellenbosch, Durban, and Pretoria. Desk reviews are practical check-ins: we look at new suppliers, channel setups, courier slips, POPIA forms, and fulfilment feedback.

Most reviews take under an hour. Our team checks listing health, flags overdue marketplace SLAs, and helps draft courier updates if recent outages have caused delays.

Trade rooms also run occasional supplier meet-ups for sellers ready to scale. There’s always coffee and a straightforward chat about what’s working and what isn’t.

Rosebank go-live checks

When you need to move a supplier shortlist into a saleable catalogue, start with our contact form. Say which products you want to list, which channel you plan to use, and whether the supplier can issue a VAT invoice, provide digital catalogues, and meet the courier and SLA rules tied to SA routes from inland hubs to coastal deliveries. Include MOQ, carton class, stock on hand, and any POPIA handling concerns so the ops desk can review the listing setup in the right context.
